Privacy Policy
Last updated: October 8, 2026
Simple Prospector provides tools that help users find, organize, manage, and communicate with their contacts. This Privacy Policy explains how Simple Prospector collects, accesses, uses, stores, protects, and deletes information when you use our services.
Information You Provide
We may collect information you provide directly to Simple Prospector, including your name, email address, account information, contact lists, and other information you choose to enter or upload into the service.
Google Account Information
Certain Simple Prospector features allow you to connect a Google account. We request access to Google data only when it is necessary to provide a feature you choose to use.
Depending on the feature you authorize, Simple Prospector may access basic Google account information such as your name and email address, and may request permission to access Gmail functionality.
Contact Finder and Gmail Data
Contact Finder allows a user to analyze the user's own Gmail history, including messages in Spam and Trash, to identify and organize people who have emailed the user.
Contact Finder does not access or retrieve email message bodies or attachments. During processing, Contact Finder accesses only the limited Gmail metadata needed to identify and organize contacts, including sender information, selected message headers, Gmail labels, and message dates.
This information may include items such as sender name, sender email address, reply-to name and email address, subject line, message date, selected Gmail labels, and whether a message includes an unsubscribe (list) header. Contact Finder does not read message snippets or previews.
This Gmail information is used only to provide the Contact Finder functionality requested by the user, including identifying unique senders, evaluating contact information, organizing results, and presenting those results to the user for review.
Temporary Gmail Processing Data
Message-level Gmail information used during a Contact Finder scan is temporary processing data. After successful processing and classification, Simple Prospector deletes the temporary message-level scan records that are no longer required to provide the Contact Finder results.
After a scan, Contact Finder keeps a list of the unique senders found (sender name, email address, number of emails received, the dates of their first and last emails, and whether their emails include an unsubscribe link) so the user can review and download it. Automated senders, such as no-reply and notification addresses, and the user's own connected Gmail addresses are left out. This sender list is kept for 24 hours after the scan finishes and is then deleted automatically. Only the total number of unique senders is kept with the scan's statistics.
If a scan is not completed, its temporary message-level data is deleted automatically within 24 hours.
Simple Prospector retains the user's Potential Marketing Contacts (name, email address, number of emails received, and the reasons they were identified), along with limited aggregate scan statistics such as the number of messages reviewed, so the user can review, edit, import, and download them. These results are kept until the user removes them, disconnects the Gmail account using the Disconnect button in Contact Finder, or asks us to delete them by emailing support@simpleprospector.com.
Email Studio
Email Studio allows users to authorize Simple Prospector to send email through a Gmail account they control. Email Studio requests Gmail sending permission solely to send email messages that the user creates and directs Simple Prospector to send through the authorized Gmail account.
Email Studio's Gmail sending authorization is not used to read the user's Gmail inbox, email messages, or Gmail history. Simple Prospector does not use this authorization to independently send messages or campaigns without the user's direction.
Google user data obtained through the Gmail API is used only to provide the Email Studio functionality requested by the user and is not sold or used for advertising.
Contact Lists and Uploaded Information
Users may upload or create contact lists containing information such as names and email addresses. This information is stored so the user can organize contacts and use Simple Prospector's list-management and email features.
How We Use Information
We use information collected through Simple Prospector to:
- Provide the features and services requested by the user;
- Authenticate users and connected accounts;
- Identify, organize, and display contacts;
- Manage user-created or uploaded contact lists;
- Send user-directed email through authorized accounts;
- Maintain the security and operation of the service;
- Provide customer support; and
- Comply with applicable legal requirements.
Sharing and Disclosure
Simple Prospector does not sell Google user data or personal information obtained through Google APIs.
Google user data is not transferred to advertising platforms, data brokers, or information resellers and is not used for targeted, personalized, retargeted, or interest-based advertising.
We may disclose information when necessary to operate and secure the service, comply with applicable law or valid legal process, protect against fraud or abuse, or use service providers acting on our behalf where permitted and necessary to provide the service.
Artificial Intelligence and Machine Learning
Google Workspace API data obtained by Simple Prospector is not used to develop, improve, or train generalized or non-personalized artificial intelligence or machine-learning models.
Google API Limited Use
Simple Prospector's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Simple Prospector does not allow humans to read Google user data, unless the user has given affirmative agreement to view specific data, it is necessary for security purposes such as investigating abuse, it is necessary to comply with applicable law, or the data has been aggregated and anonymized for internal operations.
Data Security
Simple Prospector uses administrative, technical, and organizational safeguards designed to protect information against unauthorized access, disclosure, alteration, or destruction. Information is transmitted using encrypted HTTPS connections where applicable, and access to stored information is limited to systems and personnel necessary to operate and secure the service.
No method of electronic transmission or storage is completely secure, and we cannot guarantee absolute security.
Data Retention and Deletion
We retain information only for as long as reasonably necessary to provide Simple Prospector's services, maintain user-requested functionality, meet legitimate operational requirements, and comply with applicable legal obligations.
Temporary Gmail message-level scan data used by Contact Finder is deleted after successful processing and classification as described above. The Contact Finder unique sender list is deleted 24 hours after the scan finishes. Potential Marketing Contacts and user-managed contact information may be retained so they remain available to the user until the user removes them, disconnects the Gmail account using the Disconnect button in Contact Finder, or asks us to delete them by emailing support@simpleprospector.com.
To prevent repeat free scans, Simple Prospector keeps a one-way coded record of which Gmail accounts have completed each scan type and when. It contains no email content, and the Gmail address cannot be read back from it.
Users may request deletion of their Simple Prospector account, their Contact Finder results, and associated personal information by emailing support@simpleprospector.com. Certain information may be retained where required by law or for legitimate security, fraud-prevention, dispute-resolution, or recordkeeping purposes.
Disconnecting Google Access
Users can disconnect a Gmail account at any time using the Disconnect button on Contact Finder's Connect Gmail page. Disconnecting removes Contact Finder's access to that Gmail account and deletes its Contact Finder results.
Users may also revoke Simple Prospector's access from their Google Account:
- Go to myaccount.google.com/connections.
- Click Simple Prospector.
- Click Delete all connections (or Remove access).
Revoking Google authorization prevents Simple Prospector from using that authorization for future access to the connected Google account.
Revoking access from the Google Account page does not delete information already stored in Simple Prospector. To delete it, use the Disconnect button or email support@simpleprospector.com.
User Control
Users control whether they connect a Google account and which Simple Prospector features they choose to authorize. Users can also review and manage contacts and lists stored within their Simple Prospector account.
Children's Privacy
Simple Prospector is not intended for children under 13, and we do not knowingly collect personal information from children under 13.
Changes to This Privacy Policy
We may update this Privacy Policy as Simple Prospector evolves or as legal, regulatory, or platform requirements change. The updated date at the top of this page will indicate when the policy was most recently revised.
